How to Choose an HVAC Marketing Agency: A Checklist for Owners

What to check before you hire an HVAC marketing agency: account ownership, call tracking, trade knowledge, who does the work, pricing models, contracts and the questions to ask.

Choose an HVAC marketing agency on six things: you own every account, they track booked calls and jobs rather than clicks, they understand the difference between repair, replacement and maintenance work, you know who actually builds and checks your account, their pricing model rewards what you want, and the contract lets you leave with everything. An agency that passes all six is worth talking to. One that fails any of them is a risk, however good the sales call was.

Ownership: your accounts, your data

The most important question comes first. Who owns:

  • The Google Ads account?
  • The Google Business Profile?
  • The Local Services Ads account?
  • The Meta ad account and pixel?
  • The website and domain?
  • The call tracking numbers?

The answer should be you, for all of them. The agency gets access. If an agency builds everything inside its own accounts, leaving means starting over: no ad history, no data, and sometimes a phone number printed on your trucks that you no longer control.

Measurement: calls and booked jobs

Ask to see a sample report. Look for:

  • Calls, filtered for real conversations, not just total rings.
  • Form leads, with spam removed.
  • Booked jobs, ideally pulled from your dispatch software or CRM.
  • Cost per booked job by campaign or job type.

If the report leads with impressions, clicks and click-through rate, that is a reporting habit built for the agency, not for you. Those numbers matter to the person running the account, but you run a business on booked jobs. More on this in what drives HVAC cost per lead.

Trade knowledge

HVAC is not generic local marketing. A good agency should be able to talk about:

  • Why emergency repair, replacement and maintenance need separate campaigns and budgets.
  • How the season changes what you should spend and where.
  • Google Business Profile categories for HVAC and how they affect the Maps pack.
  • How Local Services Ads interact with search ads.
  • Maintenance plans as a growth engine, not just a line on the invoice.

Ask them to explain how they would handle a heat wave when your crews are already booked out. The answer tells you a lot.

Who actually does the work

Many agencies sell with a senior person and deliver with someone junior you never meet. That is not always bad, but you should know.

Ask:

  • Who builds the account?
  • Who checks it each week, and what do they do in a normal week?
  • Can I talk to that person directly?
  • How many accounts does that person manage?

Pricing model

There are four common ways agencies charge: a flat monthly fee, a percentage of ad spend, pay per lead, and hybrids with a performance bonus. Each has an incentive built in. Whatever the model, make sure ad spend is billed by the platform to your card, separate from the agency fee.

Contract terms

Read the exit before the entrance.

  • How long is the commitment?
  • What notice do you need to give?
  • What do you keep when you leave? It should be everything in the ownership list above.
  • Are there setup fees, and what do they buy?

Proof you can check

Ask for evidence that is specific and verifiable: dashboards from real accounts, with the date range and source stated. Be careful with round, unsourced claims and with case studies that never say what was measured. Reviews on independent platforms are worth reading. Testimonials on the agency’s own site are a weaker signal.

Questions to ask on the first call

  1. Will I own every account you set up?
  2. What will you track, and will I see booked jobs by campaign?
  3. Who builds and checks my account each week?
  4. What would you change first in my current setup, and why?
  5. How do you handle the slow season?
  6. How do you charge, and what does the fee cover in a normal week?
  7. What happens to my accounts and phone numbers if I leave?

Good agencies answer these plainly. Hesitation on ownership or tracking is a red flag.

Red flags

  • The agency owns your ad account or tracking numbers.
  • Reports with no calls or booked jobs in them.
  • Promises of guaranteed rankings or a guaranteed number of leads.
  • Long contracts with nothing you keep at the end.
  • No clear answer on who does the work.
